People Operations Coordinator
The People Operations Coordinator provides day-to-day operational support across the employee lifecycle and serves as a first point of contact for employee questions. This role coordinates onboarding and offboarding processes, responds to routine and moderately complex inquiries related to payroll, benefits, and HR policies, maintains accurate employee records, and supports key People Team programs such as performance review cycles, talent development, and employee engagement initiatives. The ideal candidate is highly organized, service-oriented, detail-focused, collaborative, and proactive.
Employee Support
- Serve as a first point of contact for employee questions related to onboarding, payroll, benefits, HR policies, and general People Team processes.
- Provide timely, accurate, and employee-friendly responses to routine and moderately complex inquiries, escalating issues requiring specialized knowledge.
- Manage incoming requests through shared channels and ensure questions are routed, tracked, and resolved promptly.
Onboarding and Orientation
- Coordinate pre-boarding and onboarding activities, including background checks, new hire documentation, I-9 completion, E-Verify processing, orientation, and HRIS entry.
- Support and facilitate day one orientation, and partner with L&D Manager to continuously improve the new hire experience.
- Coordinate offboarding activities, including separation documentation, internal notifications, exit interview logistics, payroll, and benefits to support a smooth employee exit.
HR Systems, Records, and Reporting
- Maintain accurate employee data in HR systems and personnel files; complete routine audits to support data quality, compliance, and reporting accuracy.
- Pull, compile, and distribute recurring and ad hoc reports; summarize findings and support People Team requests for data.
- Assist with documentation and recordkeeping for employee lifecycle changes, including status updates, transfers, promotions, and separations.
- Process employment verifications and support other routine documentation requests.
- Maintain required employee communications and compliance materials, including labor law postings, annual notices, and personnel records.
Program and Process Support
- Provide administrative support for People Team programs and annual cycles, including performance reviews, calibration sessions, employee feedback processes, and engagement initiatives.
- Assist Learning and Development Manager with training and development logistics, conduct research for content development, and help maintaining training catalogue.
- Maintain and update employee intranet (Confluence), including onboarding resources, training and development content, and manager hub, and other on-demand information.
- Prepare meeting materials and reports, share content during meetings as needed, and capture notes and follow-up items.
- Identify opportunities to improve HR processes, documentation, and employee communications for efficiency and ease of use.
Minimum Qualifications
- 2+ years of experience in an HR Coordinator, HR Assistant, People Operations, or similar role.
- Working knowledge of HR processes across onboarding, offboarding, employee documentation, payroll support, and benefits support.
- A proactive approach to responding to employee questions with professionalism, judgment, and discretion.
- Experience with Microsoft Office products, including Word, Excel, Outlook, and PowerPoint.
- Strong organizational skills, attention to detail, and follow-through.
- Strong collaboration and communication (written and verbal) skills.
- Ability to handle confidential information with discretion and communicate clearly with employees at all levels.
- Familiarity with I-9 and employment verification processes.
Preferred Qualifications
- Experience in a high-growth or fast-paced environment.
- Experience supporting performance review cycles or recurring People programs.
- Familiarity with Rippling or another HRIS/payroll platform.
