Role Overview

This role sits at the intersection of Supply Chain, Project Management, and Field Service Operations. The Fleets Operations Specialist ensures projects are set up correctly, executed cleanly from a procurement and documentation standpoint, and closed out with full financial and operational integrity. This position is critical to maintaining operational rigor, visibility, and accountability across projects.

Key Responsibilities

Supply Chain & Procurement

• Reconcile parts purchased via company credit cards and ensure alignment with project and financial records
• Support procurement requirements, including entering purchase orders into ProcureDesk Track and resolve outstanding compliance documentation (COI, ACH, tax exemption forms)

Project Management & Administration

• Set up and maintain standardized project folders
• Pre-populate project summaries using data from project ADTs
• Track active projects and flag gaps or risks related to documentation or procurement
• Manage project wrap-up by posting all required FinOps and closeout documentation

Field Service Support

• Follow up on open or incomplete field service work orders
• Ensure all service documentation is completed accurately and closed in a timely manner

What Success Looks Like

• Projects are launched with complete, accurate setup and documentation
• Procurement and financial records are clean, auditable, and timely
• No projects linger due to missing paperwork or incomplete service records
• Field service and operations teams experience reduced friction and clearer visibility

Ideal Profile

• Highly organized with strong attention to detail
• Comfortable working across multiple systems and teams
• Proactive, accountable, and able to drive tasks to completion
• Experience in operations, supply chain, project coordination, or field service support preferred
